Step 3: How to edit and review observations

How can you edit, review or delete existing observations?

Understanding an observation in TeachScribe

An observation in TeachScribe is displayed in an observation card. An observation card displays information about a given observation and let you edit, delete, or dive deeper in to that observation to find out more details.

By default, an observation card displays:

  • In the top left, the child that an observation relates to in the top left

  • Below that, an AI generated summary of the action that the child performed

  • Then below that, the early learning goals which the observation is related to

  • In the bottom left, the name of the teacher who made the observation

  • In the bottom right, the date and time the observation was made

You can see all of these different elements in the card below.

The observation card also contains a number of buttons (in blue). These are:

  • The "ai sparkles" button, this button expands the observation card to let you see the original transcript and the development matters statements (or custom goals from your school's goal framework) that the observation was linked to. These development matters statements or subgoals are each categorised under the most relevant Early Learning Goal for categorisation purposes.

  • The "add photo" button, this button allows you to quickly add a photo from your camera roll to the observation without having to open up the main observation editing page.

  • The "edit observation" button, this button allows you to open up the edit observation screen. The edit observation screen is described in more detail here.

  • The "three dot" button, this button opens up the menu which allows you to delete an observation. The deletion of observations is described in more detail here.

  • The "more details" button opens up the observation overview page where you can see more details about, or edit the observation as you want.

To view the pictures attached to an observation, you have two ways of doing this. If an observation has on or more pictures, they will appear on the observation card. You can tap the picture to make it full screen and scroll through the other pictures if there are more than one.

You can also click the "more details" button to view the pictures side by side. You can also add or remove the pictures in this view.

How to edit an observation:

To edit an observation, click on the edit icon (shown below) on the observation card.

This will bring up the observation editing screen. Here you can edit the observation summary, the goals that an observation is linked to, and the photos that are attached to it. To edit them, you'll just want to click on the relevant section. The video below shows how to do this. Once you're done making your edits, either click the Apply Changes button in the top right of the page, or the Discard button in the top left. You can then click the back button in the top left to go back to the list of observations you came from. (This example uses sample cartoons to represent pictures of children that you'd have on your camera roll, TeachScribe doesn't generate these!)

How to delete an observation:

To delete an observation, you'll want to click on the three dot button "..." on the observation card as shown in the image below. Doing so will bring up the delete observation button. Click on that button, and the observation will be deleted. Please be aware that deleted observations can't be recovered, so only do this when you are sure that you don't want that observation in your list.

How to review an observation:

If the AI is unsure how to process an observation, instead of guessing, it'll raise the observation for manual review by a teacher. You can see the number of observations which need review in the sidebar on the left hand side of the classroom dashboard. In the case below, one observation needs review because no goal was assigned.

The current scenarios where an observation will be raised for review are:

  • If the AI is unsure what goals relate to an observation

  • If the AI is unsure what child to assign an observation to

To review an observation, click on it, and it'll bring up the observation editing screen. You would then add the relevant goal to the observation following the same steps as shown above.

Once you've edited the observation by tapping to add learning goals, you should then click the Apply Changes in the top right. The changes will be applied, and the observation will be removed from the needs review list.

When the AI is unsure what child an observation relates to, you will be able to edit it in a similar way, however the child field of the observation editing screen will be available to edit.
